Cambs Digi Fest: Saving Time with Generative AI – Insights for Small Charities

Thank you to all who joined us for this webinar, our forth event for Cambs Digi Fest and hosted by Flóra Raffai, founder of Rapport Coaching.

Flóra gave a brilliant presentation; full of information, tips and advice and she provided us with four demonstrations of how AI can help a charity with their work.

Looking at creating:

  • A health and safety policy
  • Summarising meeting notes
  • Creating a design for a fundraising event
  • Providing feedback on a draft strategy

Notes

Flóra started the session by asking on a scale of 1 to 10 how much people use AI to help their work. Most of the group submitted a low number.

Flóra began to explain what AI is: technology that allows humans to mimic human intelligence. It is developing at a rapid rate so we need to grow with it and keep on top of it.

AI apps mentioned:

She then said to think of AI as an ‘Eager Intern’ and highlighted these steps:

  • Guidance is crucial
  • Conversation over transaction
  • Mistakes will happen
  • Work in partnership

Flóra followed by saying to be careful and there are risks with AI, make sure you check all content carefully.

  • Misinformation
  • Data security
  • Bias
  • Reputational risk

Make sure it is right for the task and check where the data has come from. Everything that you are putting out has to be aligned with the values of your organisation. Be sensitive to any data you are putting into the app and check security settings. A good idea is to anonymise the data.

  • Accuracy and sources
  • Equality, diversity, and inclusion
  • Data protection and cyber security
  • Upskilling

There were some great tips that followed on how to guide the app. Flóra said to go back and forth until you’re happy with the content. Make sure you ask the app to rate it’s performance too. You can also break down sections of a document you are creating so it just concentrates on one part at a time then copy and paste the sections together. Make sure you ask the language to be in UK English as many apps default to US English.

Q&A

There were a few questions and points from the group after the presentation.

Be mindful that AI uses a lot more energy than a Google search, although it could save time and energy overall. It is something to have in the back of your mind so make sure you are using it for the right reasons. Think of the environmental impact.

What app is better? Flóra prefers ChatGPT but says to experiment with all and see what is a good fit for your organisation.

Should you always disclose where AI has been used? That isn’t a legal requirement as sometimes it will be used when you don’t know about it as AI is built into so many apps now. However, do check your organisation’s policies.

AI is used for meeting summaries. Where is this information stored? Is it safe and secure? Who has access to it? It is similar to other cloud based apps that you use. Generally paid subscriptions can have higher level of security but please check the settings and read the terms and conditions of the app so you are aware of what happens to the data. Talk to people that are using it. Microsoft 365 is generally safe.

AI has been cropping images – how can we stop this? You could try telling it not to crop. If you ask for amendments, it recreates an image every time so this could solve it.
